A letter from the founder
First off, thank you. Handing part of your business to someone else isn't a small decision, especially a business you built yourself. Our promise is that we won't treat it like one.
Here's what I want you to know going in.
Most practices don't have a marketing problem. They have a conversion problem. Patients are already trying to reach you. Someone calls while you're in a room. Someone messages at 9pm, because that's when people actually book. Someone fills out your form and waits two days for a reply. Each one of those is a patient you already earned, lost at the last step. Fixing that alone moves the needle before we spend a single new dollar on getting attention. It's like a house: you run the piping before you turn on the water. Pour more leads into a practice that converts one in ten, and you're just flooding the yard.
So that's how we build. We call it Capture, Convert, Compound, and it's the entire theory of the company.
Capture
People find you. When someone nearby searches Google for your services, or asks ChatGPT who's best in the area, your name comes up. Your website, your Google profile, your ads if we run them. Every inquiry from every channel lands in one system instead of scattered across five apps.
Convert
This is the piping. Every call answered, even at 2am. Every message gets a reply within minutes, because speed is most of what decides whether a lead books. Deposits hold the appointments, so the people who book actually walk in. Your booking rate goes up across the board, on the leads you were already getting.
Compound
The system learns your practice. Every appointment feeds data back in: where the patient came from, what they spent, whether they returned. Over time it knows your best patients and how to get more of them, so the same ad dollar buys more every month. Meanwhile your happy patients turn into five star reviews and referrals on autopilot, without you chasing anyone. This is the part nobody sold you before, and it's where the real growth lives.
We know it works because we've done it. We took one practice from a standing start, no patient list, nothing, to two locations in five months, with no front desk staff. Another practice added $60,000 in revenue in 30 days with our system. We've also helped launch and fully book new devices and services, all using our system.
Think of the next few weeks like a puzzle. Each piece goes in at the right time, in the right order, and near the end you suddenly see the whole picture: your practice, running as one machine. Your part is small on purpose:
-
01
We build first, you react second. Your site, your booking flow, and your full system get built before we ask for your time. You'll be reacting to real work instead of staring at a blank questionnaire.
-
02
You download two apps. That's the tech. Slack, where you have a direct line to our team. Not a ticket queue. The actual people building your system. And Lead Connector, where every patient conversation lives in one place. You won't configure anything. We set it up, and it tells you what to do and when.
-
03
We get on a call once your site is ready. I'll walk you through all of it live. Owners usually tell me the website reveal is their favorite part of onboarding. It's mine too.
-
04
Then the pieces start working together. Inquiries stop slipping through. Your calendar stays honest. The numbers show you exactly what's working. And the flywheel of reviews and referrals starts turning on its own.
One more thing, because it matters. We don't do long contracts, and that's deliberate. We're month to month because we plan to earn the renewal with results, every month, for years. From today, your growth numbers are our scoreboard too.
I started Arcrel because I kept meeting owners who were excellent at the medicine and running everything else on duct tape. Missed calls, scattered apps, no numbers, vendors who took the money and vanished. Nobody was building the actual business infrastructure these practices needed. So we do. The medicine is yours. The machine around it is ours.
Thanks for trusting us with this. We'll earn it.
Let's get to work.
